Privacy policy
This policy explains what personal information Spartan Lead Sites ("we", "us") collects through spartanleadsites.com and our demo sites, why we collect it, who we share it with, how long we keep it and how you can see, correct or delete it. We are based in British Columbia, Canada, and we handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
Who is responsible
Andrew Nicholls, founder of Spartan Lead Sites, is responsible for how we handle personal information. You can reach him at andrew@spartanleadsites.com.
What we collect
When you fill in a form
- The call-back form on spartanleadsites.com: your name and phone number, and, if you choose to give them, your email address, your current website and a message about your business.
- The quote forms on our demo sites (demo.spartanleadsites.com and hvac-demo.spartanleadsites.com): your name, phone number, email address, the service and project details you describe, and any photos you upload. The demos are for made-up companies, so anything sent there comes to us, not to a contractor.
- With every form, we also record the page you sent it from, the site that referred you, any campaign tags in the link (such as utm_source) and whether you were on a phone or a computer. This tells us which page or ad the enquiry came from.
When you book a call
The booking calendar on our Book a call page is provided by GoHighLevel. When you book, it collects your name, email address, phone number, the time you chose and any answers you give to its questions.
When you become a client
To build your site we collect your business details, the content you send us (such as your logo, photos of your work and service descriptions), and billing and contact details for you and your business.
When you browse the site
We use Google Analytics and Google Ads to understand how people find and use the site, and Cloudflare Web Analytics to count visits. These are covered under Cookies and tracking below.
Why we collect it
- To call or email you back about your enquiry, and to hold the call you booked.
- To quote, build and look after your website if you become a client, and to bill for that work.
- To see which pages, searches and ads bring in enquiries, so we can improve the site and spend less on ads that do not work.
- To keep the records the law requires of a business, such as invoices.
We do not sell your personal information, and we do not use it for anything other than these purposes without asking you first.
Your consent
By sending a form or booking a call, you agree to us using your information for the purposes above. You can withdraw that consent at any time by emailing us. If you do, we will stop contacting you, and we will delete your information unless the law requires us to keep it.
Who we share it with
We share personal information only with the service providers that run the site and the business for us, and only what each one needs to do its job:
- GoHighLevel: our customer relationship manager (CRM). Form enquiries and bookings are stored there, and we use it to keep track of our conversations with you.
- Cloudflare: hosts this site, stores a copy of each form enquiry, and counts visits with Web Analytics.
- Resend: delivers the emails our forms send, including the confirmation email to you.
- Google: Google Analytics and Google Ads measure visits and ad results, Google Workspace handles our email and calendar, and calls happen on Google Meet.
Some of these providers store and process information outside Canada, mainly in the United States. While it is there, it may be accessed by courts, law enforcement and national security authorities of that country under its laws. Each provider is bound by its own terms to protect the information and use it only to provide its service to us.
We may also disclose information when the law requires it.
Cookies and tracking
- Google Analytics sets cookies (named _ga and _ga_ followed by an ID) to tell visits apart and see which pages people view, how they arrived and what they do on the site, such as sending a form, tapping our phone number or booking a call. It records your approximate location from your IP address but does not give us your IP address.
- Google Ads sets cookies (such as _gcl_au and _gcl_aw) when you arrive from one of our ads, so we can see whether that ad led to an enquiry, a phone tap or a booked call. Google may also use them to show our ads to people who have visited the site before.
- Cloudflare Web Analytics counts page views without cookies and without tracking you from site to site.
- The booking calendar is loaded from GoHighLevel and may set its own cookies so that it works.
You can block or delete cookies in your browser settings, and the site still works without them. You can opt out of Google Analytics with Google's opt-out browser add-on, and control the ads Google shows you in My Ad Center. Google explains how it uses information from sites that use its services here.
How long we keep it
- Enquiries and booking details: 2 years after our last contact with you, then deleted. Sooner if you ask.
- Client records, such as agreements and invoices: as long as we work together, then as long as tax law requires. In Canada that is generally 6 years.
- Google Analytics data: deleted automatically by Google according to the retention setting on our account, which is never longer than 14 months for data tied to a visitor.
How we protect it
The site runs only over an encrypted connection (HTTPS). Access to enquiries, the CRM and our email is limited to the people who need it, behind password-protected accounts. No method of storing or sending information is completely secure, but we take reasonable steps to protect yours against loss, theft and unauthorized access.
Seeing, correcting or deleting your information
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email andrew@spartanleadsites.com from the address you gave us, or tell us the name and phone number you used, so we can find your record and confirm it is you. We will answer within 30 days. If we cannot delete something because the law requires us to keep it, such as an invoice, we will tell you what and why.
Complaints
If you have a concern about how we handle your information, please email us first and we will try to put it right. You can also contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
Changes to this policy
If we change how we handle personal information, we will update this page and the date at the top. The version on this page is the one that applies.
